A leave policy that exists only as a document in an HR folder tends to be applied inconsistently — different managers interpret it differently, and leave balances drift out of sync with what’s actually been taken. A policy only works if the system tracking leave enforces it the same way for everyone.
Defining Leave Types Clearly
Annual leave, casual leave, medical leave and any company-specific leave categories each need their own accrual rules and approval workflow. Ambiguity here – for example, whether unused annual leave carries over – is one of the most common sources of employee disputes.
Linking Leave to Attendance and Payroll
Leave that isn’t connected to attendance tracking creates a gap: an employee could be marked present while also shown as on leave, or a leave deduction might not reach payroll in time for that pay cycle. Leave, attendance and payroll need to reference the same underlying record, not three separate ones that get reconciled manually.
- Define accrual and carry-over rules for each leave type explicitly, in writing
- Route leave approvals through a consistent workflow, not ad hoc manager approval
- Ensure approved leave automatically reflects in both attendance records and the next payroll run
